With suitable IT Service Management (ITSM)<\/strong> software<\/strong>, business processes<\/strong> in the insurance<\/strong> industry can be optimized and, for example, master data<\/strong>, service<\/strong>, portfolio<\/strong> and contract management<\/strong> can be cleverly linked.<\/p>

A large German insurer<\/strong>, which previously only mapped the first two areas via its ITSM system<\/strong>, therefore also wanted to digitize its contracts<\/strong> in order to efficiently automate the entire contract management<\/strong> process. The Munich-based IT service provider<\/strong> handz.on<\/strong>, which had already successfully digitized the insurer<\/strong> ’s service<\/strong>, portfolio<\/strong> and master data management<\/strong>, was commissioned with the implementation. By integrating the contracts<\/strong> into the ITSM<\/strong>, they are now securely and centrally stored digitally and can be accessed immediately at any time. <\/p>

The biggest advantage for the insurance<\/strong> company is that the contracts<\/strong> are also automatically assigned to the respective customers<\/strong> and services<\/strong> and can be analyzed digitally.<\/p>

The aim of the German insurance company<\/strong> was to move away from paper in contract management<\/strong> and to have the contract documents<\/strong> available digitally and traceable at all times in the central ITSM system<\/strong> instead of in confusing customer folders<\/strong> and contract binders<\/strong>. In the first step, new contracts<\/strong> are set up in an external software program<\/strong> in PDF format<\/strong> for digital signature. The signed PDFs<\/strong> are then transferred to an interface<\/strong> developed by the Munich-based IT service provider<\/strong> handz.on<\/strong>, which creates a corresponding contract<\/strong> in the ITSM tool<\/strong> ’s Contract Management<\/strong>, attaches the original PDF<\/strong> and automatically links the contract<\/strong> to the corresponding customer<\/strong> or partner<\/strong> from the master data management<\/strong>.<\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t

In order for this assignment<\/strong> to function smoothly and, above all, automatically<\/strong>, particular attention had to be paid to efficiently matching<\/strong> the relevant information<\/strong> from the external software<\/strong> with the master data<\/strong> of the ITSM system<\/strong> when creating the interface<\/strong>. Another challenge<\/strong> was the allocation of<\/strong> the booked insurance services<\/strong> in the ITSM<\/strong> service management<\/strong> system, which was also required. <\/p>

Here, the interface<\/strong> accesses the service templates<\/strong> already maintained in Service Management<\/strong>. If the data<\/strong> from the external software<\/strong> shows which service<\/strong> the contract<\/strong> belongs to, a service instance<\/strong> is automatically created for the respective customer<\/strong> or partner<\/strong> and assigned to the contract<\/strong>. If automation<\/strong> is not possible, the ITSM tool<\/strong> supports the process with the help of a wizard<\/strong> or a guided process<\/strong> for manually selecting the right insurance service<\/strong> or defining the right service package<\/strong>.<\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t

When importing<\/strong> the PDF files<\/strong> into the ITSM system<\/strong> via the interface<\/strong>, there is currently still the difficulty that although the assignment<\/strong> to the customer data<\/strong> and the booked services<\/strong> is automated, important, individual data<\/strong> of the actual contract<\/strong> (e.g. name of the contract signatory<\/strong> or time of signature<\/strong>) cannot be automatically transferred, as the ITSM system<\/strong> cannot currently read the PDF<\/strong>. This individual contract data<\/strong> is therefore currently entered manually by insurance company<\/strong> employees<\/strong>. The next stage of<\/strong> the project is planned to automate this step using suitable text recognition software<\/strong>. <\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t

As soon as the contract<\/strong> has been fully created and approved by the relevant employee<\/strong>, it is switched to „live“ in the ITSM tool<\/strong> ’s Contract Management<\/strong> and archiving<\/strong> is started at the same time. To do this, the interface<\/strong> automatically forwards the contract PDF<\/strong> attached to the data record<\/strong> to an archiving tool<\/strong>, where it is stored in accordance with the law. At the same time, it is deleted in the ITSM tool<\/strong> and is therefore archived centrally in one place. To ensure that the insurance company<\/strong> can still view the contract<\/strong> for evaluations<\/strong> and queries, the archiving tool<\/strong> generates a runlink<\/strong> that is stored in the ITSM tool<\/strong> instead of the PDF<\/strong>. This means that the original<\/strong> PDF can be viewed at any time with a click. <\/p>

If a customer<\/strong> or partner<\/strong> terminates a contract<\/strong>, this must be adjusted in the contract management<\/strong> of the ITSM tool<\/strong>. If there is already an automatic mechanism<\/strong> that notifies the system<\/strong> of the termination<\/strong>, this is done automatically. If this is not the case and the termination<\/strong> comes from the customer<\/strong>, e.g. by email<\/strong>, the contract<\/strong> must be manually set to „terminated“ in Contract Management<\/strong> on the corresponding date ( partial automation<\/strong> is also theoretically possible here via mail-in configurations<\/strong> ). The ITSM tool<\/strong> calculates the end of the statutory retention period<\/strong> from the termination date<\/strong> and then automatically informs the archiving software<\/strong> so that it deletes the contract<\/strong> after this date.<\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t
